Booking Terms & Conditions | AETHLOS Programs: 3rd International Basketball Development Camp
1. Definitions
- ‘Applicable Data Protection Laws’ means: To the extent the UK GDPR applies, the law of the United Kingdom or of a part of the United Kingdom which relates to the protection of personal data. To the extent the EU GDPR applies, the law of the European Union or any member state of the European Union to which the Supplier is subject, which relates to the protection of personal data.
- ‘Booking’ refers to your booking for a Programme in accordance with clause 4.
- ‘AETHLOS’, ‘we’ or ‘us’ refers to AETHLOS Limited registered in England and Wales (Company No. 14319913) whose registered office is at 414-416 Blackpool Road, Ashton, Preston, PR2 2DX, United Kingdom.
- ‘Deposit’ has the definition given in clause 5(b).
- ‘EU GDPR’ means the General Data Protection Regulation ((EU) 2016/679), as it has effect in EU law.
- ‘Parent(s)’ or ‘Guardian(s)’ refers to your parent(s) and/or legal guardian(s).
- ‘Programme’ refers to the 3rd International Basketball Development Camp, as further described on the AETHLOS website.
- ‘Terms’ refers to these AETHLOS Programmes Terms & Conditions, as updated from time to time in accordance with clause 2(a).
- ‘UK GDPR’ has the meaning given to it in section 3(10) (as supplemented by section 205(4)) of the Data Protection Act 2018.
- ‘you’ or ‘your’ refers to you, the attendee of a Programme, and/or the Parent(s) and/or Guardian(s) (where applicable) in accordance with clause 4(c).
2. These Terms and Information About Us
- Please read these Terms carefully before registering for a Programme. These Terms explain who we are, how we provide services, how you and we may change or end the contract, what to do if there is a problem, and other important information. If you believe there is a mistake in these Terms, please contact us to discuss it.
- Please note that these Terms may be updated from time to time and shall supersede any previous terms and conditions applicable at the time of Booking.

- If we need to contact you, we will do so by telephone, email, or post using the contact details provided in your Booking.
- When we use the words “writing” or “written” in these Terms, this includes emails.
3. Programme Information
- The Programme will run from Monday 27th July 2026 until Friday 31st July 2026.
- Daily timings for the Programme are 9:00am – 4:00pm.
- AETHLOS reserves the right to amend daily schedules, activities, staffing structures, or venue arrangements where reasonably necessary.
- AETHLOS reserves the right to use alternative facilities of a similar standard and to provide alternative activities where circumstances require.
- AETHLOS will endeavour to accommodate special requests wherever reasonably possible, although these cannot be guaranteed.
- Following confirmation of your Booking, you will receive an information pack containing important Programme details, including what to bring.
- Participants who attend the full Programme may receive a certificate of completion.
- We may require certain information from you in order to provide the Programme safely and effectively. If you fail to provide this information within a reasonable timeframe, or provide incomplete or inaccurate information, we may be unable to provide the Programme and may terminate the contract in accordance with clause 8.
4. Booking
- Your Booking is accepted once:
- Payment of either the full Programme fee or first instalment has been received; and
- We have issued written confirmation of your Booking by email.
- At this point, a legally binding contract will exist between you and AETHLOS in accordance with these Terms.
- We will provide the Programme in accordance with your Booking and these Terms.
- If you are under the age of 18, your Parent(s) and/or Guardian(s) are deemed to have accepted these Terms on your behalf and additionally confirm that:
- They will provide all required consent and emergency contact information;
- They authorise participation in sporting, cultural, educational, and excursion-related activities associated with the Programme;
- They permit emergency medical treatment where necessary;
- They will be responsible for any third-party medical costs incurred;
- They consent to independent travel arrangements where agreed;
- They will provide at least one emergency contact telephone number.
5. Payments
- The Programme fee will be the price displayed on the Booking page at the time of registration.
- A Booking is only confirmed once either full payment or the first instalment (“Deposit”) has been received.
- A Booking confirmation email will only be issued once payment has been successfully received.
- Payment instructions for any remaining balance will be provided by email. Our preferred payment platform is Universe, although bank transfer details can also be provided upon request.
- All payments must be made in Pound Sterling (GBP).
- All outstanding balances must be paid in full by 19th July 2026, unless otherwise agreed.
- AETHLOS reserves the right to cancel a Booking where payment is not received by the due date. Any refund issued in such circumstances shall be at the sole discretion of AETHLOS and may take into account administrative costs and third-party charges already incurred.
- Bookings made after 19th July 2026 must be paid in full at the time of Booking.
- All bank transfer fees, including intermediary bank charges, are the responsibility of the participant.
6. Changes to Enrolment
- AETHLOS can accommodate changes to enrolment until Wednesday 1st July 2026.
- After this date, we reserve the right to charge an administration fee of £50 for each requested amendment, including:
- Programme changes;
- Centre changes;
- Postponements;
- Significant participant detail amendments.
- This may also include changes requested during the Programme itself.
7. Refunds and Cancellation Policy
Cancellations
- If you wish to cancel your Booking, refunds are issued at the sole discretion of AETHLOS and will generally be assessed according to the amount of notice provided before the Programme start date.
Cancellation Fees
- 60+ days before Programme start date:
Forfeiture of Deposit and any enrolment fees.
- 30–60 days before Programme start date:
Forfeiture of Deposit and any enrolment fees.
- Less than 30 days before Programme start date:
No refund will be payable.
- AETHLOS reserves the right to amend Programme details, pricing, facilities, schedules, or staffing arrangements where reasonably necessary.
- AETHLOS reserves the right to cancel the Programme where circumstances require. In such cases, participants will be offered either:
- A refund; or
- Credit towards a future AETHLOS Programme of equal value.
- AETHLOS shall not be liable for any additional losses, travel costs, accommodation costs, amendment charges, or third-party cancellation fees incurred by participants.
Refunds
- Refunds will only be made to the original fee payer and via the original payment method where possible.
- If AETHLOS cancels a Programme after enrolment, all monies paid directly to AETHLOS will be refunded.
- Refunds may take up to 90 days to process.
8. Termination
- Without affecting any other rights or remedies available, AETHLOS may terminate a Booking immediately and/or refuse attendance where:
- You commit a material breach of these Terms and fail to remedy the breach within 28 days of written notice;
- You fail to make payments when due;
- You fail to provide information reasonably required to deliver the Programme safely or effectively;
- Your conduct presents a risk to the safety, wellbeing, reputation, or operation of the Programme.
9. Arrival and Departure Times
- Participants should arrive between 8:00am and 8:15am each Programme day.
- Participants should depart promptly following the completion of scheduled activities and no later than 4:30pm.
- If you are unable to arrive or depart within these times, you must notify AETHLOS as soon as reasonably possible.
10. Attendance and Absences
- Full attendance is encouraged throughout the Programme.
- No compensation or refund shall be provided for missed sessions, absences, illness, injury, travel disruption, or personal circumstances preventing attendance.
- AETHLOS will comply with all relevant UK Government guidance and health and safety requirements applicable at the time of the Programme.
11. Conduct and Behaviour
- AETHLOS operates a zero-tolerance policy towards:
- Bullying;
- Harassment;
- Discrimination;
- Violence;
- Abusive behaviour;
- Illegal substances;
- Alcohol misuse;
- Vaping or smoking in prohibited areas.
- Participants are expected to behave respectfully towards staff, players, facilities, accommodation providers, and members of the public at all times.
- AETHLOS reserves the right to suspend or dismiss any participant whose behaviour is deemed:
- Unsafe;
- Disruptive;
- Offensive;
- Unlawful;
- Inconsistent with the values of the Programme.
- In such circumstances:
- AETHLOS’s decision shall be final;
- No refund shall be payable;
- Any outstanding fees shall become immediately due.
12. Photography, Video & Media Consent
- Participants and/or Parents/Guardians agree that photographs, video recordings, testimonials, interviews, and other media content captured during the Programme may be used by AETHLOS for promotional, educational, commercial, and marketing purposes.
- This includes use across:
- Social media platforms;
- Printed materials;
- Websites;
- Digital advertising;
- Promotional campaigns.
- Such content may be stored, edited, reproduced, published, and transferred internationally in accordance with applicable data protection legislation.
- If you do not wish to appear in promotional material, you must notify AETHLOS in writing before the Programme begins and remind staff upon arrival.
13. Health, Safety & Safeguarding
- AETHLOS operates comprehensive safeguarding, welfare, and health & safety procedures.
- Relevant staff members are appropriately trained and safeguarding protocols are implemented in line with UK safeguarding standards and NSPCC Child Protection in Sport Unit guidance.
- Copies of safeguarding and health & safety policies are available upon request.
14. Medical & Participant Health
- By attending the Programme, you acknowledge that participation in basketball and athletic activities carries an inherent risk of injury.
- You confirm that you are physically and mentally fit to participate safely and that you have disclosed all relevant medical conditions, allergies, injuries, disabilities, or additional support requirements.
- AETHLOS reserves the right to refuse participation or terminate enrolment where participation may present a risk to:
- The participant;
- Other participants;
- Staff members;
- The safe operation of the Programme.
- Reasonable adjustments and accommodations will be made wherever reasonably possible.
- Qualified first aiders and safeguarding personnel will be present on site throughout the Programme.
